Support Services, Print Production, Publications, and Reprographics
We look for those with the ability to dig deep into the challenges presented daily to find the most effective solution for the client while adhering to best business practices developed by our teams. In addition, we look for those able to deliver the same high quality of service to those within the firm that we aspire to provide to our members. We also look for those who have superior multitasking skills and perform with grace under pressure.
Support Services
This department manages and provides facility support to the entire company. Our day-to-day activities put us in touch with nearly every department and staff member within the firm. We are the welcoming face at our concierge desk, the helpful voice on the phone, and the “behind-the-scenes support” when it comes to setting up critical conference room space and equipment necessary for strategy meetings. As a member of Support Services, you will experience the opportunity to juggle multiple tasks and troubleshoot technical issues.
Print Production
This team is responsible for ensuring CEB research is produced to quality standards in a timely fashion and for the best price. We support and partner with every part of the firm to produce final copies of our research, as well as marketing and presentation materials.
Publications
Through direct member and internal client service, this team ensures that research is distributed to members and prospects through mass mailings, faxes, and e-mails. Publications builds strong relationships with internal clients and vendors to map out distribution schedules for each project.
Reprographics
With the high volume of research produced by each program, having the ability to produce materials per member requests on short notice is a must. Reprographics works closely with teammates in Print Production and Publications, as well as with colleagues in CEB programs to produce materials quickly upon request for immediate presentation to our members.
A Day in the Life
...of a Print Production Team Member
Since much of our work is very time sensitive, I begin each day by checking my e-mail and voicemail for anything that requires immediate attention, whether it is a vendor who has a problem with a file we sent them, a designer who is going to miss a deadline, or a contact in another department who needs a project printed.
Once I attend to any immediate requests, I look at the Meetings Calendar which lists each Member Meeting CEB is hosting around the world along with the deadlines for materials to be printed. I take stock of what we can expect and make sure that there is nothing past due.
One of my main duties is sending out different print jobs, which can be as simple as typing up a standard order and sending it to one of our various vendors, to handling a rush job that has special delivery instructions. An important part of being in this department is ensuring that we find the best prices and quality for printing and occasionally this means consulting with multiple vendors for a single job.
Other slightly less common jobs include calling UPS in other countries to sort out a dispute with customs, negotiating pricing, and holding informational sessions to educate our colleagues in other departments. We often meet with new staff members to inform them of standard printing options, as well as programs who have ambitions to create something new and different.
...of a Reprographics Team Member
I arrived at the office a few minutes early today, as Monday morning urgent requests are more and more common. There is an e-mail from my Print Production teammate letting me know that I’ll be getting the first of three files to output for a member meeting and hand off to the program to carry to New York before the end of the day. As soon as I have the final file, I run one copy, proof it to be sure it’s presentable to members and on spec, and then start the entire job running while I head out to check the health of all the copiers in the building.
Only one of the copiers needs a technician to come in and fix the problem, so I’ve scheduled a visit from the vendor for later this morning. I return to find the other two files for the New York meeting are ready to print, so I take care of them right away.
Midday I begin to receive files to print for tomorrow’s in-house meeting and begin running them. My manager came in to let me know that we also have an urgent request for printing assistance from the CEO’s office for the Board of Director’s meeting, and they need the materials by the end of the day. I immediately set up the job to run on my second machine while the printing for tomorrow’s in-house meeting finishes up on the first.
The afternoon is filled with various internal printing requests from Meetings, Marketing, and Talent Management for both member and new hire training materials. After setting up and starting the first job printing, I make the second round of copier checks to be sure the down machine is fixed and the others are in fine shape.
At the end of the day, I take a few minutes to track the specs of each job, as they’re important to help us determine material needs as well as communicate to internal clients our turnaround times for various types of jobs.
